About the Role
The School Administrative Coordinator at Van Avery Prep plays an essential role in creating a welcoming, organized, and supportive front office experience for students, families, staff, and visitors. As one of the first points of contact for the school, this position helps set the tone for a professional, warm, and student-centered campus environment.
This role is responsible for greeting visitors, answering phones, supporting daily office operations, maintaining student records, and assisting with student health and safety needs throughout the school day. The School Administrative Coordinator partners closely with school leadership, teachers, families, and students to help ensure the front office runs smoothly and that campus procedures are followed with care, accuracy, and discretion.

You Will…
• Serve as the first point of contact for families, students, staff, and visitors, providing a welcoming and professional front office presence
• Answer and direct phone calls, respond to general inquiries, and provide timely support to families and school staff
• Greet and assist visitors at the front entrance while helping maintain campus safety and visitor procedures
• Maintain accurate student records, including enrollment documentation, immunization records, emergency contact information, and other required school files
• Support school communication by helping relay messages, coordinate information, and assist with general administrative needs
• Assist students with minor health-related needs, including basic first aid support such as bandages and comfort care, following school policies and procedures
• Manage and administer student medications in accordance with school protocols, parent/guardian instructions, and applicable regulatory requirements
• Respond calmly and appropriately to student emergencies, escalating concerns to school leadership, parents, or emergency services as needed
• Partner with teachers and school leadership to support daily campus operations, student attendance, and front office organization
• Maintain confidentiality and professionalism when handling student, family, personnel, and school-related information
• Assist with school events, family communications, office projects, and other administrative responsibilities as needed

What We Are Looking For
• High school diploma or equivalent required; associate’s or bachelor’s degree preferred
• Prior experience in a school office, administrative support, customer service, healthcare office, or family-facing environment preferred
• Strong communication, organization, and interpersonal skills
• Ability to create a warm, professional, and welcoming experience for students, families, staff, and visitors
• Comfort managing phone calls, front desk activity, records, and multiple priorities in a fast-paced school environment
• High attention to detail and ability to maintain accurate student records and documentation
• Ability to handle confidential information with discretion, professionalism, and sound judgment
• Calm, compassionate, and student-centered approach when supporting minor injuries, student needs, and emergency situations
• Willingness and ability to follow school health, safety, medication, and emergency protocols
• Ability to pass a state and federal background check
