Park Maitland is a private independent school based in Maitland Florida that has been serving elementary-age students for fifty-three years. We are seeking an Office Manager responsible for overseeing daily office activities, organization, and management. This is a full-time twelve-month position that supports directly to the Head of School.

Primary Duties and Responsibilities:

  • Coordinates and monitors office operations to ensure school requirements are sufficiently met daily.
  • Plans goals/objectives for office operations and identifies the resources (staff equipment, funds/budget) required to obtain end results.
  • Provides qualified staff support and contributes to the needs of the organization, contacts, and implements changes needed.
  • Manages all substitute placements and scheduling daily for school during a ten-month academic school operation.
  • Interviews new substitutes and maintains records on substitutes to include resume and contact information.
  • Provide Business Office with appropriate financial documents and emergency contact forms on all substitutes.
  • Receives communications for substitutes needed outside of school day hours to appropriately schedule and plan the upcoming school day and coverage.
  • Maintain and update all student cumulative and confidential files with interim reports, report cards, confidential information, etc.
  • Assists with the report card process.
  • Requests and files new student academic/cumulative records.
  • Coordinates, copies and submits teacher recommendations and academic records to requesting schools.
  • Copy appropriate academic records and send the cumulative file to indicated school for students transferring to another school.
  • Each summer moves student records to the appropriate grade level files in internal information databases and MIS.
  • Update and manages student files and schedules in the student MIS database (PowerSchool).
  • Assist in all other ways requested to help maintain the school mission and values.

Skills:

  • Excellent written, oral, computer, and interpersonal communication skills
  • Professional and experienced organization, planning, and scheduling skills
  • Proficient with Google/Microsoft Office, and QuickBooks platforms

Education and Experience:

A Bachelor's Degree or 8 plus years of equivalent work experience in office management is required.
